Online registration for a language school: preparation checklist

Define placement, class capacity, schedules and confirmation rules before building a language-school registration system.

Online registration is more than a digital paper form. Decide who is eligible for each class and when their place becomes confirmed.

Placement before purchase

New applicants may need a placement assessment. Keep that request separate from enrolment for students whose level is already approved. Define who approves the result and how long it remains valid.

Capacity belongs to each group

Record language, level, schedule, delivery format and capacity separately. Two simultaneous applicants must not both receive the last seat. Define temporary reservation expiry and failed-payment handling.

Clear confirmation states

Distinguish a received request, pending approval or payment, and confirmed enrolment. A form receipt is not a class confirmation. Record authorised class transfers so staff can follow what changed.

Role-based access

Collect only information needed for registration and contact. Teachers may need class rosters without access to every payment or other classes. Define reception, teacher and administrator permissions before implementation.

Test difficult cases
